VoucherFlow.io ("we", "our") is committed to protecting the privacy of your personal data in accordance with the General Data Protection Regulation (GDPR) and applicable Irish law.

2. Data We Collect
We collect only the data necessary to provide the service:
- Account data: spa/hotel name, email address, password (stored encrypted)
- Voucher data: client name, email, phone, service, value and dates — entered by you via CSV or manually
- Usage data: access logs, IP address, for security and abuse prevention
3. Purpose and Legal Basis
- Contract performance — to deliver the VoucherFlow.io service you subscribed to
- Legitimate interest — for security, fraud prevention, and service improvement
- Legal obligation — when required by Irish or European law
4. Data Sharing
We do not sell or share your personal data with third parties for commercial purposes. To provide the service, we use sub-processors in the following categories:
- Hosting and infrastructure — secure servers under GDPR standard contractual clauses
- Transactional email — sending system emails (credentials, notifications)
5. Data Retention
Your data is retained while your account is active. After cancellation, data is deleted within 30 days, unless a legal obligation requires otherwise. Demo accounts are automatically deleted after 14 days.
6. Your Rights (GDPR)
You have the right to:
- Access, correct, or delete your personal data
- Data portability (export in CSV format)
- Object to processing or request its restriction
- Lodge a complaint with the Data Protection Commission (Ireland: dataprotection.ie)

7. Security
Data is transmitted with TLS encryption. Passwords are stored with a secure hash (bcrypt). Server access is restricted and monitored.
8. Cookies
We use strictly necessary session cookies for the application to function. We also use Google Analytics and Hotjar to analyse usage of the landing page (voucherflow.io). You can disable these cookies in your browser settings.
9. Changes to This Policy
We may update this policy periodically. Registered users will be notified by email of any material changes.
